Select Communications > Mail Specific Features > Letter Template Library
1. Click Export Merge Fields.
The Export Merge Fields page opens. You can export merge fields for letters you create using Mailings or Acknowledgements.
To export merge fields for Mailings letters:
a. For Mailing File Selection, click Download for Individual Profile or Organization Profile depending on the contacts who will receive the letter.
b. In the File Download pop-up window, click Save.
c. In the Save As dialog box, browse to where you want to save the merge field file and click Save.
d. Close the Download complete pop-up window when done.
To export merge fields for Acknowledgements letters:
a. For File Selection, select the check box for Include Custom Profile Fields and Include Custom Event Fields if you want to export these merge fields for import into the letter template.
b. Click Download for the specific type of acknowledgement into which you will insert merge fields.
c. In the File Download pop-up window, click Save.
d. In the Save As dialog box, browse to where you want to save the merge field file and click Save.
e. Close the Download complete pop-up window when done.
2. Open Microsoft Word and perform the following steps:
a. Create a new document.
b. Enter text or copy and paste the text you want from another document source.
c. Select View > Toolbar > Mail Merge to select, and show, the Mail Merge button in the toolbar.
d. Click the Open Data Source button.
e. Locate and select the .csv file you saved in step 3 and click Open.
f. In the Word document, click where you want to insert a merge field.
g. Click the Insert Merge Fields button.
The Insert Merge Fields pop-up window appears.
3. Double-click a field to insert it in the document, or select the field and click Insert.
You will need to close the pop-up window and perform step 2g each time you need to select an area in the document where you will add merge fields. If you are inserting fields that are in sequence (for example, City, State, Zip) you can insert the fields without closing the pop-up window. Simply select each field and click Insert.
4. Repeat step 5 as often as is necessary.
5. After inserting all desired fields, save and close the Word document.
6. Import the new letter template with merged fields into Sphere.
