Here are the steps to create a user defined field for Item Name:
  1. Click Management in the menu bar
  2. Click User Defined Fields in the Database Configuration tile
  3. Click the Category you want to save this new User Defined Field in
  4. Click New Defined Field under Tasks
  5. Type Item Name into the Name field
  6. Select Text as the Data Type
  7. Click Next
  8. Select Transactions as the field application (do not check off any other boxes)
  9. Click Next to move to step 3: Field Attributes
  10. Check the appropriate box if you would like to utilize either of these options then
  11. Click Next
  12. Select Allow assignment of only one item as the Display Type
  13. Click Next
  14. In the Add value tile type in the name of one of your items (ex: T-Shirt)
  15. Click Add Value
  16. Repeat this step until you have added all of the values you need (one value per each item you need to manually track)
  17. Click Save and Finish


Here are the steps to create a user defined field for Item Quantity:
  1. Select Management in the menu bar
  2. Select User Defined Fields in the Database Configuration tile
  3. Click the Category you want to save this new User Defined Field in
  4. Click New Defined Field under Tasks
  5. Name the Field Item Quantity
  6. Select Number as the Data Type
  7. Click Next
  8. Select Transactions as the field application (do not check off any other boxes)
  9. Click Next to move to step 3: Field Attributes
  10. Check the appropriate box if you would like to utilize either of these options then
  11. Click Next
  12. Select Text Box as the Display Type
  13. Click Save and Finish
You have now set up user defined fields for Item Name and Item Quantity. When you manually enter a Cart transaction, these fields can be found under the User Defined Fields section on the Gift screen. In the Item Name field you would select the item that was purchased in the drop down menu, and in the Item Quantity field you would type in the number of the item that was purchased.

When it comes to querying and reporting, you will need to make sure that you account for these additional user defined fields if you wish to report on both manually entered and online Cart transactions. For example, if you build a query using the Transaction Order Items field only, this will only allow you to query on the online transactions, and you would need to insert your user defined field of Item Name in the query setup at some point to make sure you were including the manually entered transactions. How you build the queries and reports for these Cart items will vary depending on the data you are looking for, but it is a consideration you will need to keep in mind.
