Method 1 - Entering in "In Kind" giving with a received amount.
  1. Click Accounts
  2. Click Find an Account
  3. Search for and click on the donor's name
  4. Click Journal
  5. Click Add
  6. Click Gift.Pledge
  7. Enter in a Received Amount then select a Fund and any other applicable fields. The received amount should reflect the value of the item or service given as in kind. This is the amount the in kind donor will receive acknowledgment for.
  8. Under Gift Types on the right hand side of the screen select ‘In Kind’ from the drop down menu; you'll notice that the following fields are available for in-kind gifts
  • Sale Date  - For donated items that your organization chooses to sell, this field allows you to enter the date that your organization sells the item
  • Sale Value - For donated items that your organization chooses to sell, this field allows you to enter the amount received when the item was sold
  • Note - Allows you to enter any extra details regarding the donated item
  1. When finished entering in data click Save And


Pros- This method allows you to query on a specific received amounts of "In Kind" giving.
Cons- This method means that if you create a query based on the Received amount for gifts, you will see in-kind gifts in the results. However, you can include criteria for the Transaction Gift Type in your query, if you'd prefer to see only those gifts that had a monetary value (i.e. those gifts made with cash, check, credit/debit, etc.)


Method 2 - Entering in "In Kind" giving without a received amount.

For this method we will not be entering a received amount so you will want to use a User Defined Field to track the value of the item or service given as in kind using the steps listed below:
  1. Select Management in the menu bar
  2. Select User Defined Fields in the Database Configuration tile
  3. Click the Category you want to save this new User Defined Field in, example: Base
  4. Under the Tasks menu, click New Defined Field
  5. Name the field In Kind Received Amount
  6. Select Currency from the Data Type drop down menu
  7. Click Next
  8. Mark the checkbox next to Transactions (do not check off any other boxes)
  9. Click Next
  10. Do not mark anything on this page
  11. Click Next
  12. Set the Display Type to Text Box
  13. Click Save and Finish
Once you've created the User Defined Field, you'll add the in-kind gift using the steps listed below:
  1. Click Accounts
  2. Click Find an Account
  3. Search for and click on the donor's name
  4. Click Journal
  5. Click Add
  6. Click Gift/Pledge 
  7. Leave the Received Amount set to zero then select a Fund and any other applicable fields
  8. Under Gift Types on the right hand side of the screen select ‘In Kind’ from the drop down menu; you'll notice that the following fields are available for in-kind gifts
  • Sale Date  - For donated items that your organization chooses to sell, this field allows you to enter the date that your organization sells the item
  • Sale Value - For donated items that your organization chooses to sell, this field allows you to enter the amount received when the item was sold
  • Note - Allows you to enter any extra details regarding the donated item
  1. Click the User Defined Fields heading
  2. Click the field you created called In Kind Received Amount
  3. When you are finished entering data, click Save and
Pros- This method allows you to to be able to query on received amounts and not gather any in kind gifts for reports and receipting purposes.
Cons- This method requires the additional set up a a defined field that can track the in kind value donated.
