Check the Following: 
  • Expiration Dates: Ensure the expiration date on the membership is included in the segments you are sending to. 
    1. From Marketing and Communications, click Membership Renewal Efforts
    2. On the Templates tab, click the name of the process
    3. On the Membership Rules tab, notice the segments that are included in the process (1 month before, month of, etc)
    4. From Constituents, click Constituent search, select the member record
    5. On the Memberships tab, verify the expiration date is in this range
  • Address Processing
    1. From Marketing and Communications, click Membership Renewal Efforts
    2. On the Templates tab, click the name of the process
    3. On the left hand menu, click edit address processing options
    4. Find the section that says "If address is not found: ", select include in results without address
    5. Click Save
  • Universe tab: The Universe tab controls what membership levels are included in your mailing. In the setup process, if all levels are marked this tab will be blank. Meaning its including all levels in the program. If levels show on this tab, this means only certain levels were marked in the setup process and only those levels will receive renewals.
    1. From Marketing and Communications, click Membership Renewal Efforts
    2. On the Templates tab, click the name of the process
    3. Click the Universe tab
    4. If there are levels listed here, is the level you are missing records listed? This tab can be blank which means all levels should be included
  • Exclusions tab: The Exclusions tab uses query selections to exclude people from receiving membership renewal notices.
  1. From Marketing and Communications, click Membership Renewal Efforts
  2. On the Templates tab, click the name of the process
  3. Click the Exclusions tab
  4. If there are query selections listed here, note the name of those selections.
  5. Go to Analysis > Information Library.  Search for and select those queries.
  6. Run these queries to see if your missing members are in these results.
  7. If this is incorrect, click on the query, click Edit Definition in the top left and change the criteria to ensure those members are not included in these exclusion queries.
