Cannot query on staffing resources filled by staff

Staffing resources can be filled by volunteer, staff, or board members.  When a staffing resource is filled by staff or board members, you are unable to report on the constituent that filled that job.  You have to go to the Event, Resources tab to see who filled the staffing resource.
There are a few different ways to get this information.

Option 1: Continue to use Staffing Resources and find the names of the Staffing Resources on the Itinerary Report.  If you use this option, you can only look at staffing resources for one reservation at a time.
  1. Go to Sales.
  2. Under Reports, click itinerary.
  3. Select a reservation.
  4. Mark the box to Include Resources.
  5. Click View Report.
Option 2: Continue to use Staffing Resources and find the names of the Staffing Resources on the event or group sale directly.  If you use this option, you will not be able to use query to report on the names of the Staffing Resources.
  1. Go to Tickets > Program Search.  Search for and select the program.
  2. Go to the Event List tab and click on the specific event.
  3. Go to the Resources tab.
  4. In the Filled by column, see what staff or board members filled this staffing resource.
  5. If the Staffing Resource was assigned directly on the group sales record, go to Sales > Group Sales.
  6. Double click on the specific group sale.
  7. Under Staffing, see what staff or board member filled this staffing resource.
Option 3: Instead of using a Staffing Resource filled by Staff, use a Staffing Resource filled by Volunteers.  Using this option, you will be able to query on the names of the people filling the assignments.  If you use volunteers heavily and want to distinguish these staff volunteers from actual volunteers, you could create a new volunteer type to separate them.
  1. First, assign the Volunteer constituency to your Staff Members so they are available as volunteers.
    1. Search for each staff member in Constituents > Constituent Search.
    2. Click on the Personal Info tab.
    3. Click on the Constituencies sub-tab.
    4. Click Add > Volunteer.
    5. Repeat this for each staff member that is needed as a staffing resource.
  2. On the group sale reservation, note that the staffing resource is filled by a volunteer.
    1. In Sales, click Group Sales.
    2. Double click on the existing reservation or add new.
    3. Click on the name of the itinerary under Manage itineraries.
    4. Go to the Resources tab.
    5. Under Staffing Resources, click Add.
    6. Select the Resource, quantity needed, and choose Filled by Volunteer.
    7. Under job being performed, either create new job or select an existing job.
    8. Click Save.
    9. Go back to the reservation by clicking on the reservation name at the very top of the screen.
    10. Under Staffing, click on the resource, and click Assign.
    11. Select an existing volunteer that shows under Potential Volunteers or click Search for a Volunteer and search for the staff member.
    12. Click Save.
  3. Build a query to report on the Staffing Resource filled by a Volunteer.
    1. Go to Analysis > Information Library.  Click Add an ad-hoc query.
    2. Under the Record Type dropdown, select Reservation, then click on Group Sales Reservations source view and click Ok.
    3. On the left, expand itineraries, then staffing resources, then job occurrence, then assignments, then volunteer.
    4. In the middle, select Name and move to Results Fields to Display if you want to see all names or move this to Include Records Where if you want to query on all group sales reservations with a particular staffing person.
    5. Add any other criteria or results that you need to see.  Your query may look like this:
Staffing Resource Volunteer Query

Steps to Duplicate

Steps to duplicate in sample database:
  1. Add a staffing resource on a program.
  2. Add an event.
  3. Go to the Resources tab.
  4. Edit the staffing resource and fill it with staff people.
  5. Go to Analysis > Information Library.  Add a program query.
  6. On the left, expand Staffing Resource.
  7. Output the Filled by field, but see that it just says Staff, not specific names.
  8. Under Staffing Resources, if you expand Assignments, there is only a Volunteer Node, not a Staff Node.
  9. Repeat this same process with a staffing resource query or sales order query.
