Exceptions reported when submitting a Gift Aid Claim to HMRC

There can be various errors / exceptions reported by HMRC when submitting the Gift Aid claim.
These include:
 

  • Value '' has an incorrect length. Invalid content found at element 'Fore'.
    Refers to the constituent First Name field, which cannot be blank when submitting a claim.
     
  • Value '' has an incorrect length. Invalid content found at element 'House'.
    Refers to the constituent address line 1, which cannot be blank when submitting a claim. Also, if you have donors with an international country (other than UK), ensure an address block is setup in Config -> International. If the address block is blank then this error will occur.
 
  • Value '' doesn't have the correct format. Invalid content found at element 'Postcode'.
    Refers to the preferred post code, which cannot be blank when submitting a claim.
     
  • Value '<postcode>' doesn't have the correct format. Invalid content found at element 'Postcode'.
    Refers to the preferred post code, which is present or incorrectly formatted.
    The post code is in 2 parts and should be divided by a single space.
    Also ensure that a character has not been used, instead of a number.  For example G2 oXY should be G2 0XY (zero).

  • Value '<number>' doesn't have the correct format. Invalid content found at element 'Postcode'.
    Refers to the preferred post code, which is present or incorrectly formatted.
    When the value is a number rather than a post code this it is likely an overseas address where the constituent has a valid declaration.

To identify the constituents for the exceptions:
  • Create a Constituent query with the criteria
    Gifts, Tax Claim Number equals <the number of the claim>

    Additional criteria depends on which of the exceptions are received.
    If first name blank then the criteria would be
    AND Constituent Information, First name blank

    If blank address line 1 then the criteria would be
    AND Addresses, Preferred Address, Address Line 1 blank.

    If blank post code
    AND Addresses, Preferred Address, Preferred Postcode blank

    If the post code present but invalid -
    AND Addresses, Preferred Address, Preferred Postcode equals <the post code value listed in the exception message>

     
  • On the Output tab of the query suggest Constituent Information, Constituent ID and name plus the field reported in the exception are included.

     
  • Run the query and double click on the entry in results to open the constituent and correct the issue, where possible.
    For example, if the post code is blank but the address is present, you could use the Postcode Finder option on Royal Mail's web site *
     

Notes:
These steps would be repeated for each exception until all resolved.
Once all exceptions resolved proceed to Submit Gift Aid Claim to HMRC.  As these changes are on the constituent records, and not the gifts in the claim, there is no need to rerun the claim.

Additional exception that rarely occur.
 
  • Value '<phone number>' doesn't have the correct format. Invalid content found at element 'Phone'.
    Refers to the preferred post code, which is present or incorrectly formatted.

  • Value '0.00' is too small. Invalid content found at element 'Total'.
    Refers to a gift where the Gift Amount or, if a Split Gift, the Split Amount is zero.
