Before following the steps below, you must export the data out of FAF in a way that aligns with the eTapestry Import module.  You can use this How to create the reports to export from Friends Asking Friends (FAF) into eTapestry to help you export the data from FAF and prepare for the steps below.

1. Confirm the Funds used in Friends Asking Friends are also in eTapestry
  1. Log into eTapestry
  2. Select the Management tab
  3. Select Funds under Donation Strategies
  4. Confirm that the names of your Funds in eTapestry match the Funds listed on your Friends Asking Friends reports.  If there are any Funds missing in eTapestry, please add them before proceeding to Step 2. The names must match exactly.
 
2. If your Friends Asking Friends data has never been synced with eTapestry, then follow the steps below to set up a User Defined Field for storing the Supporter ID.  If your data has been previous synced, please move to Step 5.
  1. Select the Management tab
  2. Select User Defined Fields under Database Configurations
  3. Select New Category under the Tasks menu
  4. Name the category Friends Asking Friends
  5. Click Save 
  6. Click on the newly created category called Friends Asking Friends
  7. Under the Tasks menu, click New Defined Field
  8. Name the field Account ID - FAF
  9. Set the Data Type to Number
  10. Click Next
  11. Mark the checkbox next to Constituents
  12. Click Next
  13. Click Next again to move to the Display Type step
  14. Set the Display Type to Text Box
  15. Click Save and Finish
 
3. Set up a User Defined Field to track the Event name.
  1. Select the Management tab
  2. Select User Defined Fields under Database Configurations
  3. Click on the category called Friends Asking Friends
  4. Click New Defined Field under the Tasks menu
  5. Name the field Event - FAF
  6. Set the Data Type to Text
  7. Click Next
  8. Mark the checkbox next to Transactions
  9. Click Next
  10. Click Next again to go to the Display Type step
  11. Set the Display Type to Text Box
  12. Click Save and Finish
 
4. Set up a User Defined Field to track the transaction type.
  1. Click the Management tab
  2. Click User Defined Fields under Database Configurations
  3. Click on the category called Friends Asking Friends
  4. Click New Defined Field under the Tasks menu
  5. Name the field Transaction Type - FAF
  6. Set the Data Type to Text
  7. Click Next
  8. Mark the checkbox next to Transactions
  9. Click Next
  10. Click Next again to move to the Display Type step
  11. Set the Display Type to Allow assignment of only one item
  12. Add the following values:
    • Donation
    • Registration
  13. Click Save and Finish
 
5. Preparing your file for Import into eTapestry.

A. eTapestry requires a Name Format for all accounts.  Keep in mind that Name Format just designates what type of Name fields you can use (ex: First Name, Last Name, Account Name, Sort Name, etc.) You have a couple options depending on how you want to proceed:
  1. If you want all the accounts in the import to have a single type of Name Format, such as Individual, you will not need to add a Name Format column because we can assign them all as Individuals on step 1 of the import process.
  2. If the accounts in your file are a mixture of Name Formats, you must add a column for "Name Format" and define each line as Individual, Family, or Business
B. eTapestry also requires that a single Country is imported at a time. If your file contains multiple Countries, you must separate them into different files. The import will only accept one Country at a time.

C. Delete the empty row 2 from your file. The top most row should contain your Column Headers and the transaction/participant data should start on row 2.

6. Setting up the donor import template in eTapestry. We suggest reviewing the Import Tutorial Walkthrough prior to attempting the import. You can also use the tutorial as a resource while going through the import because it allows you to move at your own pace.
  1. Click the Management tab
  2. Click the Import button
  3. Click on the category called Standard eTapestry Imports
  4. Click New Import under the Tasks menu
  5. Name the import Donor Information from Friends Asking Friends
  6. Browse for the Donor CSV file you exported from Friends Asking Friends
  7. Under Select the Type of Information to Import, select Account Information with Single Gift
  8. Under Name Format you have a couple options based on your choice in step 5-A from up above in this KB
    1. Click the drop down menu and choose one of the options for "Assign X to all accounts" (Individual, Family, or Business)
    2. Click the drop down menu and choose "Map from your import file" and choose the Name Format column you created
  9. Under Country choose the option based on the Country your file contains
  10. Click Next
  11. On this screen we’ll be mapping fields from the file.  Map the necessary Names & Salutations for each Name Format from your file by clicking the green left pointing arrow to the right of each field. That opens a window that contains a list of column headers from your import file. Choose a column to map to the corresponding eTapestry field. For more help with mapping, please see our 5 Tips for Importing. For example:
    • Account Name > Click First Name, scroll down, click Space, scroll up, click Last Name
    • Sort Name > Click Last Name, scroll down, click Comma, click Space, scroll up, click First Name
    • Short Salutation > [First Name]
    • Long Salutation > [Title] [Last Name]
    • Envelope Salutation > [Title] [First Name] [Last Name]
  12. You can also fill out designated values for the eTapestry fields that will be the same for all of the gifts in your file. These values must match exactly how they appear in eTapestry:
    • Persona Type manually type in Personal if you want all the address information stored in the Personal persona type
    • Gift Type manually type in Cash
  13. Click Import Another eTapestry Field and add the following fields to the mapping screen:
    • Address Lines
    • City
    • State/Province
    • Postal Code
    • Email
    • The appropriate Phone type(s)
    • Account ID - FAF
    • Event - FAF
    • Transaction Type - FAF
  14. Map the following fields:
    • Date > [Donation Date]
    • Received > [Donation Amount]
    • Fund > [Fund]
    • Address Lines > [Address Line 1]\n[Address Line 2]
    • City > [City]
    • State/Province > [State]
    • Postal Code > [Zip/Postal Code]
    • Email > [Email]
    • The appropriate Phone types to each available phone number
    • Account ID - FAF > [Supporter ID]
    • Event - FAF > [Initiative Name]
    • Transaction Type - FAF > Manually type in Donation
  15. Mark the Key checkbox next to Account Name Note: The Key checks each line in your import file against existing accounts in the database. If the line matches ALL of your Keys it will show up on the Possible Duplicate Report on Step 4 of the import.
  16. Click Next
  17. On the Preview screen, verify that everything looks correct
  18. Click Next
  19. If duplicates were found, decide how to handle each one
  20. Click Next to run the import
 
7. Setting up the registrants with fees import template in eTapestry
  1. Click the Management tab
  2. Click the Import button
  3. Click on the category called Standard eTapestry Imports
  4. Click New Import under the Tasks menu
  5. Name the import Registrants WITH Fees from Friends Asking Friends
  6. Browse for the Registrants WITH Fees CSV file you exported from Friends Asking Friends
  7. Under Select the Type of Information to Import, select Account Information with Single Gift
  8. Under Name Format you have a couple options based on your choice in step 5-A from up above in this KB
    1. Click the drop down menu and choose one of the options for "Assign X to all accounts" (Individual, Family, or Business)

9. Importing donor and registrant information after the templates have been created.
 
Once the templates are set up, you can quickly import additional files without having to go through the mapping step each time. 
  1. Click the Management tab
  2. Click the Import button
  3. Click on the category called Standard eTapestry Imports
  4. Click on the name of the import template that correlates to the file you’re importing
    • Donor Information from Friends Asking Friends
    • Registrants WITH Fees from Friends Asking Friends
    • Registrants WITHOUT Fees from Friends Asking Friends
  5. Browse for the CSV file you exported from Friends Asking Friends
  6. Click Next
  7. Your fields should already mapped (still make sure your Keys are selected to be safe)
  8. Click Next
  9. On the Preview screen, verify that everything looks correct
  10. Click Next
  11. If duplicates were found, decide how to handle each one
  12. Click Next to run the import
