The first steps in the acknowledgement process is to create a selection of gift memberships only: 
  1. Go to Analysis, Information Library. 
  2. Click Add a new ad-hoc query. Select a source view of Revenue. 
  3. To filter on gift memberships specifically, use the filter Application Details\Membership Transactions\Is gift is equal to Yes (Under Browse for fields in, expand Application Details and highlight Membership Transaction. From the middle column, drag Is gift into Include Records where). 
  4. On the Set save options tab, name your query and check the box to Create a selection. 
Next, you will want to ensure that your Altru database is configured to acknowledge memberships. If you have acknowledged memberships in the past, you can skip these steps: 
  1. Go to Revenue, Reporting Filters
  2. On the Revenue filters tab, click the drop down arrows next to the default reporting filter. Click Edit
  3. Ensure that under Revenue Types, Membership is checked. 
  4. Also make sure that under Transaction Type\Application, Membership is checked under both Order and Payment. 
  5. Save
Finally, here are the steps to add Gift Membership fields to your acknowledgement letters: 
  1. In your acknowledgement letter, under Select recipient information to use to personalize your letter, click Edit Acknowledgement merge fields.
  2. You will use your regular acknowledgement fields to pull information about the giver of the gift membership. (For example, you  will already have Address, City, State, Zip, Addressee and Salutation in your acknowledgement merge fields by default. These fields are pulling information about the constituent associated with the revenue, so we can use these existing fields to pull information about the giver.)
  3. If you are merging letters in Altru and would like to send a separate letter to the recipient of the gift membership, insert a page break in your letter content. 
  4. Use the following node to pull details about the recipient of the gift membership: Revenue Marketing\Revenue\Application Details\Membership Transaction\Membership\Members\Constituent. (Under Browse for fields in, expand Revenue Marketing, expand Revenue, expand Application Details, expand Membership Transaction, expand Members, and Expand Constituent.) 
  5. When you add your first field, you will see the Export Criteria windows pop. Add the following criteria to these windows:
    1. The first window will read,  "For each record in the revenue node enter the number of related records from the application details node to export." Choose 1 under Number to export and under Filter, choose Selected Application Details. Drag Application to Include Records where and set this equal to Membership.
    2. The second window will read, "For each record in the application details node enter the number of related records from the membership transaction node to export." Choose 1 under Number to Export and under Filter, choose Selected Membership Transaction. Drag Is Gift to Include Records Where and set this equal to Yes. 
    3. The third window will read, "For each record in the membership node enter the number of related records from the members node to export." We recommend exporting the primary member's information. Choose 1 under Number to export and under Filter, choose Selected Members. Drag Primary Member to Include Records where and set this equal to Yes. 
  6. We also recommend renaming these fields to indicate they are information for the Gift Membership Recipient. Highlight the field in Selected Fields and click the Pencil Icon to change the name of the field.
