Error: Server was unable to process request. String or binary data would be truncated. - when running the Add Users Utility

When running the Add Users Utility within the NetCommunity Plugin inside of Education Edge, users may receive the error:

Server was unable to process request. String or binary data would be truncated. The statement has been terminated.

This issue comes up when there is a password for a user that has an encryption which is too long for the utility to process.  Passwords for NetClassroom\FAWeb may only be a maximum of 40 characters. This can also happen when there are too many email addresses in the email field.

To correct this problem, you will need to identify the offending accounts, then set the correction.

Step 1: Identify the Offending Accounts
  1. Log in to The Education Edge
  2. Click Query
  3. Open the query you are using in the Add Users Utility to create\refresh accounts.
  4. Add Online user ID and Online password to the output of the query
  5. Click the Results Tab
  6. Observe which results have a password longer than 40 characters.  The offending accounts will be very obvious, since the passwords will be significantly longer than the others.
  7. Make a note of the username on each of the offending accounts.
  8. In the query results, double click the offending account to open the appropriate record in Education Edge.
    1. If the Username and Password are not greyed out: Reset the password to some value under 40 characters. Proceed to Step 2
    2. If the username and password are greyed out: Proceed to Step 2
    3. Also ensure that there is only one email address in the email field
Step 2: Correction
  1. Login to your Blackbaud NetCommunity website as a supervisor
  2. Click on Users & security > Users
  3. Search for the username you noted in Step 1.G
  4. Click the pencil icon to the left of the username
  5. Break all links on the account, Education Edge and Raiser's Edge, if present
  6. Click Save
  7. Login to Education Edge
  8. Open the offending record
  9. Delete the value for the Online password field, so that the field is empty for password
  10. Click Save and Close
  11. Re-Run the Add Users Utility in the NetCommunity plugin in The Education Edge
