Note : Before you proceed with the following instructions, back up the database. If your organization integrates multiple Blackbaud products, refer to the Additional Requirements section of the backup article.

 

     
    • Open the constituent record to keep
    • Select the Relationship tab
       
    • Open the appropriate relationship
       
    • Select Relationship, Break link with [name] from the menu bar. The following prompt appears:  In addition to breaking the link, please indicate whether or not to also delete the constituent record for this relationship:
      • If you select 'Break the link ONLY', the constituent record for the spouse is not deleted and the relationship information remains on this record. Select this option if you want to merge information such as gifts from this constituent record to the other constituent record.
      • If you select 'Break the link AND delete the constituent record for this relationship', the constituent record for the spouse is deleted, but the relationship remains on this record. Select this option only when you do not want to merge anything from that constituent record, e.g. the only thing that you want to keep is the relationship record.

       

       



      For example, John and Mary both have a constituent record and they are linked to each other with a spouse relationship. Mary is active in your organization so you want to keep her constituent record.

      • If you selected 'Break the link ONLY', merge these constituent records. The constituent selected in step 1 is the 'Merge To'. The other constituent is the 'Merge From'. Select the appropriate information to merge and mark the Delete source constituent checkbox.
         
        • Open Mary's constituent record
        • Select the Relationship tab
           
        • Open John's relationship
           
        • Select Relationship, Break link with John from the menu bar. The following prompt appears:  In addition to breaking the link, please indicate whether or not to also delete the constituent record for this relationship:
          • If you select 'Break the link ONLY', John's constituent record is not deleted and the relationship (spouse) information remains on this record. Select this option if you want to merge information such as gifts from this constituent record to Mary's constituent record.
          • If you select 'Break the link AND delete the constituent record for this relationship', John's constituent record is deleted, but the relationship (spouse) information remains on Mary's record. Select this option only when you do not want to merge anything from John's constituent record, e.g. the only thing that you want to keep is John's relationship record.

           

           


           

          • If you selected 'Break the link ONLY', merge John and Mary's constituent records with John as the 'Merge From' and Mary as the 'Merge To'. Select the appropriate information to merge and mark the Delete source constituent checkbox.
