How to confirm the constituent is an Individual:
  • In Web View:
    1. Navigate to the Constituent's record
    2. Confirm that you see biographical fields on the record, like the following:
      • First Name
      • Middle Name
      • Last Name
      • Gender
      • Birthdate
      • Deceased
      • Deceased Date
      • Marital Status
      • Primary Addressee
      • Primary Salutation
  • In Database View:
    1. Click Records>Constituent
    2. Search for and open the constituent in question
    3. If you see a Bio 1 and Bio 2 tab, the constituent is an Individual; if you see a Org 1 and Org 2 tab, the constituent is an Organization

How to confirm the First Name, Middle Name, and Last Name fields are populated with a valid name format:
  • In Web View
    1. Navigate to the Constituent's record
    2. In the header of the constituent record, click Edit>Name
    3. Look in the First NameMiddle NameLast Name fields
    4. Double-check for the following:
      • Ensure there are no erroneous spaces before or after the text populated in the fields
      • Ensure there are no special characters populated in the fields
      • Ensure that there is only one individual's first/middle/last name in the fields
  • In Database View
    1. Click Records>Constituent
    2. Search for and open the constituent in question
    3. On the Bio 1 tab, look in the First NameMiddle Name, and Last Name fields
    4. Double-check for the following:
      • Ensure there are no erroneous spaces before or after the text populated in the fields
      • Ensure there are no special characters populated in the fields
      • Ensure that there is only one individual's first/middle/last name in the fields

How to confirm the constituent is not marked Inactive:
  • In Web View
    1. Navigate to the constituent record
    2. In the header of the consittuent record, look for the consittuent name
    3. Under the constituent name, there will be a tag that says Inactive if the constituent is marked Inactive; if you do not see an Inactive tag, then the constituent is active
  • In Database View
    1. Click Records>Constituent
    2. Search for and open the constituent in question
    3. On the Bio 1 tab, look in the bottom right-hand corner
    4. If the Inactive checkbox is marked, the constituent is inactive; if the Inactive checkbox is not marked, the constituent is active

How to confirm the constituent is not marked deceased:
    • In Web View
      1. Navigate to the constituent record
      2. In the header of the constituent record, look for the constituent name
      3. Under the constituent name, there will be a tag that says Deceased if the constituent is deceased; if you do not see a Deceased tag, then the constituent is not deceased
    • In Database View
      1. Click Records>Constituent
      2. Search for and open the constituent in question
      3. On the Bio 1 tab, look in the bottom left-hand side of the tab (under the Birthdate field)
      4. If the Deceased checkbox is marked, the constituent is deceased; if the Deceased checkbox is not marked, the constituent is not deceased

    How to confirm the preferred address is a valid US address:
    • In Web View
      1. Navigate to the consittuent record
      2. In the Contact information panel, look under the Addresses section
      3. Look for the address with a green start next to the address type
      4. Confirm the address block is configured with valid address lines, city, state, and ZIP code
        • Note: Valid = The address exists and is not populated with invalid characters (e.g. ?, !, <, >, %, $, @, *, ^, (, ), +, =, etc.)
      5. Confirm the country selected on the address record is a not a non-US country
    • In Database View
      • If you have AddressFinder, complete the following steps:
        1. Run AddressFinder through the database view
      • If you do not have AddressFinder, complete the following steps:
        1. Click Records>Constituent
        2. Search for and open the constituent in question
        3. On the Bio 1 tab, look in the top right-hand corner (where it says Preferred Address)
        4. Confirm the address block is configured with valid address lines, city, state, and ZIP code 
          • Note: Valid = The address exists and is not populated with invalid characters (e.g. ?, !, <, >, %, $, @, *, ^, (, ), +, =, etc.)
        5. Confirm the country selected on the address record is a not a non-US country

    How to confirm the ISO Country of the preferred country:
    1. Log into Database View
    2. Click Config>International
    3. Double-click on the country in question
    4. Look in the ISO Name field
    5. Confirm United States is selected
               

    How to confirm the country has the proper address block format:
    1. Log into Database View
    2. Click Config>International
    3. Double-click on the country in question
    4. Ensure United States is selected in the Display available fields for this country drop-down
    5. Look in the Address Block fields panel
    6. Confirm the following fields are selected
      • Address Lines
      • City
      • State
      • ZIP
      • Country (or Country abbreviation)
    7. Confirm the address block fields are formatted like the screen shot below
                


    How to confirm the preferred address is a residential address:
    The easiest way to determine of an address is a residential address is to look up the address on the internet (e.g. Bing Maps , Google Maps , etc.)

    How to confirm the property owner of the preferred address is the constituent:
    Most counties in the US are very easy to look up property ownership since it is public information, so our recommendation for users is to look up the preferred address of the constituent on the Internet and verify that the name on the constituent record matches the county property assessment website of the address.
