These steps assume familiarity with processing donations (gifts) and/or event registrations and/or memberships in Online Express and with Batch processing in The Raiser's Edge.

NOTE: These steps only apply to using an uncommitted/new batch. Once a batch is committed, even a recurring batch, new transactions cannot be added to it.

The following steps are similar for donations (gifts), event registrations, and memberships. The examples below show a donation download:

How to create a new batch and add gifts to it

How to add gifts to an existing batch

 
Creating a new batch and adding gifts to it:
  1. In The Raiser's Edge, click on Online Express in the left menu.
  2. In Online Express, click on the desired tab at the top: Donations or Events or Memberships.
  3. If transactions are available to download, click on Download Transactions to the right of the desired tab.
  4. In the Transactions Download window, click on Tools in the menu bar and select Transaction Options:
  5. From the new Transactions Options window, select one of these options:
    • Use the next available batch number - This will create a batch using Online Express fields and grabs the next available batch number
    • Create a new batch and use existing batch below for default fields and values - This uses the next available batch number BUT allows you to specify a batch template and base the batch on it.
    • (For this process, skip the second option of "Add records to an existing batch..." for now.)
  6. Click OK.
  7. Process the first transaction.
  8. Click Process Transaction above the details on the right and complete processing updates as prompted:
  9. After the Batch creates a notification like this will appear. Be sure to note the batch number! For our example, the batch number is 88 as shown below:
  10. In the Transactions Download window, return to Tools in the menu bar and select Transaction Options:

  11. From the new Transactions Options window, select the second option of "Add records to an existing batch..." and enter the batch number noted in step 9. For our example, batch 88 noted in step 9 is entered as shown:
  12. Click OK.
  13. Resume processing transactions. Click Process Transaction after each one and follow the prompts to complete its processing:
  14. When finished, click File > Exit or X-out of the Transaction download.
  15. Proceed to Batch in The Raiser's Edge to review and commit the gift batch.

Batch already exists and more gifts need to be added:

NOTES:
  • The batch settings must be set each time the Transaction download window is opened. The option resets to create new batch once the window is closed.

  1. In the Transactions Download window, return to Tools in the menu bar and select Transaction Options:

  2. From the new Transactions Options window, select the second option of "Add records to an existing batch...". Enter the desired batch number. For our example, we'll enter batch 88 to add more gifts to this existing batch:
  3. Click OK.
  4. Process transactions. Click Process Transaction after each one to add it to the batch:
  5. When finished, click File > Exit or X-out of the Transaction download.
  6. Proceed to Batch in The Raiser's Edge to review and commit the gift batch.
