How do phones and emails from Luminate Online download into The Raiser's Edge 7.95 and above?

To prevent duplicate contact information on constituent records in The Raiser’s Edge 7.95, you can set a business rule to prevent multiple phone numbers and email addresses of the same type from being saved. The phone and email options business rule is flexible so that you can set different rules for phone numbers and email addresses. You can also set the rule to allow duplicate types if you prefer, or display a warning each time a duplicate type is about to be saved. Based on the rule you set in The Raiser’s Edge, the integration with Luminate Online will behave accordingly. In general, we recommend RE/Luminate Online integrated users should select "Save record anyway" for their Business Rules in Config.

Note that users must be on version 1.4.5854 of the Luminate Online plug-in for this behavior to take effect.
Depending on what is selected in Config > Business Rules > Phone/Email options in The Raiser's Edge, the Luminate Online plug-in will behave differently in the way that it processes new phone/email updates from Luminate Online.

Do not allow record to be saved:
If the business rule in The Raiser’s Edge is set to not allow duplicate phone and email types to be saved, you will be prompted with a message on the Constituent Information page when you try to process changes from Luminate Online that include duplicates. You can select to overwrite the duplicate information in The Raiser’s Edge, or discard the information from Luminate Online. If there are multiple phone numbers or email addresses with the same type on the consitutent record, you can select to manually update it instead.

 
Note: When bulk processing constituent updates from Luminate Online, records with duplicate information will not be processed. Those records will remain on the Constituent Information screen for you to manually review and process into The Raiser’s Edge.

Examples:
  • If a new email or phone type is downloaded from Luminate Online to a Raiser’s Edge Constituent with an existing email or phone of the same type on their Bio 1 tab, the following will occur:
    • During single processing, a prompt will appear.
      • Your phone settings won't allow duplicate types. Do you wish to overwrite the existing value for [phone type]?
      • Selecting Yes will overwrite the existing email or phone of the same type.
      • Selecting No will not process the new email or phone from Luminate Online.
    • During bulk processing, an error will appear in the Processing window: Failed: Duplicate email [or phone] types are not allowed
  • If a new email or phone type is downloaded from Luminate Online to a Raiser’s Edge constituent with more than one of the existing email or phone type on their Bio 1 tab, the following will occur:
    • During single processing, a prompt will appear:
      • Your phone settings won't allow duplicate types. Do you with to reject the update for [phone type]?
      • If No is selected, at the end of the profile processing, another prompt will appear which allows users to manually edit the Constituent record. If ‘No’ is selected in this second prompt, all Constituent updates will be rejected.
    • During bulk processing, an error will appear in the Processing window: Failed: Duplicate email [or phone] types are not allowed
 

Display Warning:
If the business rule in The Raiser’s Edge is set to display a warning when duplicate phone and email types are going to be saved to a record, you will be prompted with a message on the Constituent Information page when you try to process changes from Luminate Online that include duplicates. You can select to add the duplicate information from Luminate Online to the record, overwrite the existing information on the record, or reject the update entirely.

 
  • If a new email or phone type is downloaded from Luminate Online to a Raiser’s Edge Constituent with an existing email or phone of the same type on their Bio 1 tab, processing will be different.
    • During single processing, a prompt will appear:
      • A duplicate phone type of '[Phone type]' may be added to constituent record. Please select Yes to add, No to overwrite, Cancel to reject the update.
      • Selecting ‘No’ will overwrite the current phone or email of that type on the Constituent’s record.
    • During Bulk processing, the default selecting will be to Add the phone or email to that constituent record with the same phone or email type. No warning will be displayed.
Save the record anyway:
If the business rule in The Raiser’s Edge is set to save records with duplicate phone and email types, all constituent updates from Luminate Online will be processed as normal, without warnings for duplicate information. We recommend you select this option with The Raiser’s Edge and Luminate Online integration.
  • If a new email or phone type is downloaded from Luminate Online to a Raiser’s Edge Constituent with an existing email or phone of the same type on their Bio 1 tab, the integration will add the new phone or email to the record with the same type.
 

Important Note: When bulk processing constituent updates from Luminate Online, if the business rule in The Raiser’s Edge is set to display a warning or save the record anyway when duplicate types are encountered, duplicate information will be added to The Raiser’s Edge. Users will also want to note the new functionality in Raiser's Edge to mark phones as Primary checkbox on Raiser's Edge phones. Phones marked as Primary in Raiser's Edge will sync to mapped phone information and overwrite the value in Luminate.
