Donor retention is typically calculated by the number of donors in a previous period divided by the number of those same donors that also gave a gift in the current period. To pull this in Altru, we will create two queries:

Query 1: Donors in previous period: 
  1. Go to Analysis > Information Library 
  2. Click Add an ad-hoc query 
  3. Select the source view of Constituents
  4. First, you will need to add criteria to find anyone who you consider a donor in your previous period. We have outlined the steps with two options. The first option is if you'd like to include constituents with revenue only and the second option is if you'd like to include any recognition credits for constituents who made a gift or received credit for a gift (for example: spouse credit or soft credit):
    1. Option 1: Revenue - In the left column, highlight Revenue. In the middle column, drag Date into Include Records Where and set this to be your date range. For example, your field may appear like this: Revenue\Date is between 1/1/2014 and 12/31/2014.
    2. OR Option 2: Recognition Credits - To consider any constituents who received recognition, you can highlight the Recognition Credits node instead in a query. Drag Effective Date to Include Records Where and set this to be equal to your date range. In this example, Recognition Credits\Effective date is between 1/1/2014 and 12/31/2014. 
  5. Next, you will want to specify what type of revenue you'd like to consider when pulling this list of donors.
    1. Option 1: Revenue - To find everyone who made a donation, expand Revenue in the left column (where we highlighted in Step 4.1). Under Revenue, highlight Application Details. In the middle column, drag Application to Include Records where. Set this to be equal to Donation.     2. OR Option 2: Recognition Credit - To find everyone who received recognition credit for a donation, expand Recognition in the left column (where we highlighted in Step 4.2). Under Recognition Credits, highlight Revenue Application. In the middle column, drag Application to Include Records Where. Set this to be equal to Donation. 
  6. Click Preview Results and note the number of records returned. This is the number of unique donors in your previous period. 
  7. On the Set Save Options Tab, give your query a name and check the box to "Create a Selection" and the box to "Show this selection in query designer."
Query 2: Donors in this period who also donated in the previous period
  1. In Analysis > Information Library, find Query 1. Click the drop down arrows beside the query name. Click the "Copy" button. 
  2. Altru will create a copy of this query and the Edit Ad-hoc query screen will open. Highlight the Date field (either Revenue\Date or Recognition Credits\Effective Date) in Include Records where and change this date to be this period. For example: Revenue\Date is between 1/1/2015 and 12/31/15. 
  3. Next to see how many of these donors also gave in the previous period, in the left column, highlight the Selections Folder. In the middle column, drag the name of Query 1 to Include Records Where. In the middle column drag "Exists in "Query Name"" to Include Records Where. Set this to be equal to Yes. Here is an example of how that might appear in Include Records Where:Image of query criteria
  4. Click Preview Results and note the number of records returned. This is the number of unique donors in this period. 
  5. Divide the number of unique donors from this period by the number of donors from Query 1 and multiple by 100 to get your donor retention rate percentage. For example, if Query 1 yielded 500 constituents and Query 2 yielded 200 constituents, your retention rate would be 40%.
