How do I export student and parent records from EE to be used with a Core Data Refresh for the ON Products?

Parents, Students, and their relationships can be imported into Core through a Data Refresh.  This article explains how to export these records from The Education Edge to create a file that can be used to create the needed Data Refresh routines to import these records into the ON Products.

This process will require three different exports:
  1. Individual Export
  2. Student Export
  3. Relationship Export
For the Individual Export:
  1. In EE go to Registrar's Office > Exports
  2. Create a new Individual Export
  3. Add the fields as shown below step 6
  4. When adding an address, ensure the correct Address type is selected in the criteria to pull in the needed address:

  5. When adding contact information, ensure the correct contact type is selected in the criteria to pull in the needed contact.  A new contact field will need to be added for each contact type that needs to be exported.

  6. To pull business information add the fields from Organization Relation as shown below.

For the Student Export:
  1. Create a new Student Export
  2. Add the fields as shown below step 4
  3. When adding an address, ensure the correct Address type is selected in the criteria to pull in the needed address:

  4. When adding contact information, ensure the correct contact type is selected in the criteria to pull in the needed contact.  A new contact field will need to be added for each contact type that needs to be exported.  These should be contact types specific to the student.

For the Relationship Export:
  1. Create a new Student Export
  2. Add the fields as shown below step 4.
  3. When adding a relationships, filter the group by the Relationship Type needed by going to the Filters tab in the Criteria window that opens when adding a Relationships group.
    • When adding a relationship, filter the group by the Relationship Type needed in that export by going to the Filters tab in the Criteria window that opens when adding a Relationships group.  Create the following:
      1. Rel1 = Father
      2. Rel2 = Mother
      3. Rel3 = Step-Father
      4. Rel4 = Step-Mother
      5. Rel5 = Guardian #1
      6. Rel6 = Guardian #2 (typically, Guardian’s Spouse)
  4. To add multiple relationships, double-click Relationship type and select Yes to add a new group.
